When Should You Book Event Rentals? A Simple Timeline Guide

We know that planning an event comes with a lot of moving parts, so our goal is to make the entire process feel smooth, organized, and completely stress-free—from booking to event day. Whether you’re hosting a wedding, private tailgate, community event, or private party, here’s a helpful timeline of when to book your rentals and what to expect along the way.


As you begin planning, one of the most important steps is securing your rentals early. The best time to book is once you know your event is happening and have a general idea of your needs. For some events, that might be 6 months in advance, while for others it could be closer to 1-2 months out.

This allows you to lock in your tent size, tables, and chairs while availability is still strong—especially during busy seasons when popular items book quickly. Of course, we understand that not everything can be planned far in advance. We do our best to accommodate last-minute rentals whenever possible, based on availability.

Once you make your reservation with a 50% deposit, your date and core items are secured—but you can still make adjustments to your inventory counts if your guest count or needs change.

About a month out from your event, it’s time to start finalizing the details. This is when you can update your guest count, add any extras like fans, lighting, or tables, and begin thinking through your layout. Because your reservation is already secured, you’ll have the flexibility to make these changes without worrying about availability.

As your event gets closer, we’ll begin preparing behind the scenes—reviewing your order, confirming logistics, and making sure everything is ready to go. During the week of your event, we’ll finalize numbers and delivery details with you.

On setup day, our crew arrives within the scheduled window and gets to work right away. We handle the full installation of your tent and any additional rentals, ensuring everything is placed correctly and securely. Once everything is in place, we do a final walkthrough of the setup to ensure it meets our standards and is ready for your guests. At this point, your space is fully transformed and ready for your event.

After your event wraps up, our team returns at the pre-scheduled time for breakdown and pickup. We work efficiently and respectfully, leaving the space clean and stress-free for you at the end of the day.

By booking early and adjusting as you go, you get the best of both worlds—secured inventory and flexibility as your plans evolve. Our goal is to make the process as easy as possible so you can focus on enjoying your event.
